It sounds like your emails may be getting archived automatically due to the settings in your retention policies or auto-archive settings. Here are a few things you can check:

    1. Retention Policies: Ensure that there are no retention policies applied to your mailbox that might be archiving emails before you have a chance to read them. You can review the retention policy tags applied to your mailbox using PowerShell commands such as Get-RetentionPolicyTag <Name of the tag> | fl to see if any tags are set to archive items too quickly.
    2. Auto-Archive Settings: Check your Auto-Archive settings in Outlook. If Auto-Archive is set to run frequently or is configured to archive items older than a certain number of days, it could be moving emails to the archive without your intervention. You can adjust these settings by going to the File tab > Options > Advanced > AutoArchive Settings in Outlook.
    3. Folder Specific Settings: Make sure that the folders where the emails are being sent do not have specific retention tags that are set to archive items. You can check the DeletePolicy, ArchivePolicy, and CompliancePolicy columns in the mailbox folder statistics to see if any specific policies are affecting those folders.

Thanks for sharing the details, Richard! Try to check for “Sweep” Rules (Outlook.com web ONLY — NOT in Rules menu)

Sweep rules do not appear under Outlook Rules and can silently move mail to Archive.

    How to check:

    • Go to Outlook.com in a browser
    • Click Settings → View all Outlook settings
    • Go to Mail → Sweep

    If you see anything like:

“Move all messages from <sender> to Archive”

“Only keep the last 10 messages”

    “Move older than 10 days”

    Delete every Sweep rule.

These override your normal rules and run automatically on the server.

See if this helps. If you need further assistance just let me know.

    Best regards,

    Kimberly
